Before you start
- A CSV or TSV file of up to 2 MB and 5,000 rows, with a header row. You can also copy the rows from a spreadsheet and paste them.
Steps
- 1
Open Settings, then “Import”. The same import is in the last setup question and in the empty Clients and Projects pages (“Or import them from a spreadsheet”).
- 2
Choose what you are importing: clients, projects, past invoices, or time entries. Qufy also guesses it from the column names.
- 3
Press “Choose a CSV file”, or paste a table and press “Read the table”.
- 4
Check which column fills each field. Columns are matched by their names in English and Arabic; “Suggest with AI” asks the assistant instead. Change any of them.
- 5
Check the date and number formats Qufy detected, such as dd/mm/yyyy or 1.234,50, and press “Preview”.
- 6
Read the summary and the problems. For each row that matches something already in Qufy, choose “Use existing” or “Create anyway”.
- 7
Press the import button, which shows the number of new rows, for example “Import 38”.
Good to know
- Rows with problems, such as a missing name, an email that is not valid, an unknown currency, or a date that cannot be read, are skipped. The rest are imported.
- Past invoices are kept for your records with their own numbers. They never take a Qufy invoice number, have no link, and cannot be sent. Unpaid ones count as owed, and appear in Needs you once they are due.
- Time entries not marked as billed count as unbilled time, except on fixed-price and monthly retainer projects. A missing project or client is created.
- “Undo this import” works for 7 days, from the last step or from “Recent imports” in Settings, under Import. It removes every row from that import, except rows you have used since in a document or invoice; Qufy lists those and says why.
- Sample files in English and Arabic for each kind are under the file picker.
If something goes wrong
- “The file is larger than 2 MB. Split it and import each part.”
- Split the rows into two files, each with the header row, and import them one after the other.
