Before you start
- The project has a signed contract or an accepted quote with a total. That makes it a fixed-price project, billed by deposit and balance rather than by hours.

Open “Projects”, then open the project.

In the “Next step” card, check “Percent”. It starts at the share your quote or contract states (for example 40% to start); 50 only when they state none.

Press “Deposit invoice”. Qufy opens an invoice with one line, such as “Deposit (50%) — Brand refresh”, and the quote's or contract's payment terms. Nothing is saved until you save or send it.

Check the invoice and press “Send”.

When you are ready to invoice the rest, go back to the project page. The “Next step” card now shows “Balance invoice” with the amount left; press it.

Check the invoice, which has one line such as “Balance — Brand refresh” and the same terms, and send it. Like the deposit, it is not saved until you save or send it.
Good to know
- The invoices are made on the project page. A signed contract's “Deposit invoice” button in the editor, its “Deposit and balance” button in Documents, and the Documents row action all take you there.
- The “Next step” card shows one step at a time, the most urgent first. If the project has, for example, an overdue invoice, that shows before the deposit.
- The base amount is the signed contract with a total, or else the accepted quote. The deposit is that amount times your percent, in the same currency, for the project's client.
- Once the project has any invoice that was not declined, the deposit step is replaced by “Balance invoice”. Both invoices carry the payment terms of the quote or contract and are due after the days they state (for example 7); 30 days only when nothing is stated.
- The balance is the base amount minus every invoice on the project in the same currency that was not declined, drafts included. When nothing is left, there is no balance step. Invoices in another currency are not subtracted.
- To only write a deposit into a quote's or invoice's terms, use “Deposit” and “Add to terms” in the editor's “Terms and payment” card. It adds one deposit line at the top of the payment terms.
- Qufy does not charge your client or take any payment. The client pays you directly, using the payment details you show on the invoice.
If something goes wrong
- “The “Deposit invoice” step does not show.”
- The project needs a signed contract or an accepted quote with a total. If the project already has an invoice, you see “Balance invoice” instead. A more urgent step may also show first; deal with it, and the deposit comes next.
- “The balance is lower than expected, or there is no balance step.”
- Draft invoices count too. Delete any draft you will not send. When the invoices already cover the agreed total, nothing is left to invoice.
