Quote and invoice numbers

Numbers are given when you send, in order, with no gaps. A draft has no number and shows the “Draft” badge.

Steps

    Open a new quote or invoice while signed in. The header shows the “Draft” badge and no number.

    Write and save as often as you like. Saving keeps it a draft, with no number.

    Press “Send”. The panel says: “The client gets a link to view the document, accept a quote, or pay an invoice. The first send gives it its number.” Choose “Email link”, “WhatsApp”, or “Copy link”, or choose “Download final PDF” in the “More” menu instead. At that moment the document gets the next number, and the title shows it, for example “Invoice INV-2026-001”.

Good to know

  • Invoices are numbered INV-YYYY-NNN and quotes QUO-YYYY-NNN, for example INV-2026-001 and QUO-2026-001. Each type has its own sequence for each year.
  • Numbers are given in the order you send, with no gaps: a draft you delete never used a number, and two documents sent at the same moment get two different numbers next to each other.
  • A sent document keeps its number forever, also when you edit it later. Documents you made before this change keep the numbers they had.
  • A draft PDF (“Download draft PDF” in the “More” menu) says “Draft” where the number goes and across the page. “Download final PDF” gives the number, marks the document as sent, and names the file after the number, for example INV-2026-001.pdf.
  • A quote changed with “Turn into invoice” in its editor becomes a draft invoice: it keeps its quote number on record and gets an invoice number when you send it.
  • Past invoices you import from a CSV keep their own numbers. They never take a Qufy number and do not move the sequence, so your next invoice sent from Qufy still gets the next INV number.
  • Without an account, you number the document yourself: “Invoice number” starts as QFY-202610-001 and the PDF uses what you type.
  • Contracts do not have a number.
