Plan a job with the assistant

Paste a client's message and Qufy Assistant plans the client, project, quote, contract, and payments, then creates them as drafts. Nothing is sent.

Before you start

  • Every member has the assistant during the beta. If your work or your country isn't in Settings yet, it asks for them first and saves your answers there.

Steps

    On Home, in Qubi's card (“Give Qubi a client message”), paste the client's message into the large field and press “Plan with Qubi”. Or press ⌘K and choose “Plan a job with the assistant”.

    Wait while Qubi reads the request, checks your setup, and builds the plan. It takes about 20 seconds.

    If something in your setup is missing, answer it first: “Use this rate” saves the market typical rate to Settings, or press “Enter my rate”. “Upload logo” and “Add payment details” can wait (“Later”).

    Answer the questions about the job, one at a time. Pick a suggested answer or type your own and press “Send”. When the client is in another country, choose the quote currency first: prices appear after you choose it. Each choice shows the rate it uses, and one is what clients in that country usually pay for your work, with its source; pick your own rate or that one. Questions such as how bookings work change the lines and hours with one tap. A question about a date offers “Today”, “The 1st of next month”, and “Pick a date”.

    Check the plan: Client, Project, Quote, Contract, NDA, and Payment schedule, each as a short summary. Press “Edit” on a section, change it, and press “Save” once for the section, or ask in the message field, for example “deposit 40%” or “contract in both languages”. What changed is highlighted.

    Press “Create all”. Qufy creates the drafts: the client and project when they are new, the quote, the contract, and the NDA when there is one.

    Press “Open the quote to send” to check the quote and send it from the editor as usual, or “Download all as PDF (ZIP)” for the drafts' PDFs.

    Under the drafts, “Reply to the client” has a short answer to what the client asked (the delivery, the total, the deposit, and the next step), in their language. Press “Copy”, or “Open in WhatsApp” to send it yourself. Qufy never sends it.

Good to know

  • Your own price always wins. Before you plan, fill in “Your price (optional)”: the amount, its currency, and “Once”, “A month”, or “A year”. Or write it in “Your note” or the message field, in any form (“we agreed on EGP 1,088,800 a year”, 1.09M, or in Arabic words). The quote then uses that amount and currency, with no currency question, and nothing is priced from hours. The plan shows “Your total” to check. A price for a year is billed monthly over 12 months unless you choose “Bill once a year”. If you write only a number, Qufy asks its currency first. Without a price of yours, prices come from your hourly rate. A price in the client's message is never used. An NDA is added only when the client or you ask for one.
  • Closing the panel keeps the plan. Home shows “Your plan is still open.” above the field, with “Continue your plan” to open it again. For a day after “Create all”, the same line opens the result.
  • Every change makes a version. Press “History” to see them, newest first, with what you asked for and the total after it. “Restore this version” makes a new version from an older one, so nothing is lost and you can come back; it counts as one of the plan's changes. After “Create all” the history is read only.
  • After “Create all”, “Open” opens each draft in a new tab, so the plan stays where it was, and the result says which project the drafts were saved in. A draft opened from a plan shows “Back to your plan” at the top.
  • Limits: 30 plans a month, 15 a day, and 20 changes a plan. Settings → Account shows how many plans you used this month.
  • The client's message and the plan are deleted 30 days after you create the drafts or leave the plan. Logos are never sent to the AI.

If something goes wrong

“The assistant isn't available right now. You can still make the quote by hand.”
Press “Retry”. Your plan is kept. Or press “Make the quote by hand”.
“Qubi is resting for a moment. Try again later.”
The assistant is paused for a short while on our side. Your text and your plan are kept: press “Retry” in a few minutes, or press “Make the quote by hand”.
“Answer the open questions first.”
Answer the question above the plan; “Create all” turns on when no question blocks the plan.
